Short answer: the approved sample should become the reference for bulk production. Check the piece as a product, not just as a photograph: dimensions, weight, comfort, construction, finish, stones, branding, and packaging all need a clear record.

Why a good-looking sample can still be the wrong sample

A common buyer scenario is a boutique approving a pendant from a front-facing photo. When the physical sample arrives, the pendant looks right but sits too low on the chain. The clasp is functional, the finish is attractive, and the photograph has hidden the proportion problem. The review process needs a side view, measurement record, and wear test to catch that issue.

Sampling is where the product brief meets reality. It is also the cheapest point to discover a problem.

The seven checks that belong in a sample review

1. Dimensions and proportion

Measure the actual piece. Compare it with the drawing or approved reference. For rings, check inner diameter and band thickness. For earrings, check drop length, post position, and pair symmetry. For necklaces and bracelets, check chain length, pendant scale, clasp, and extension chain.

2. Weight and comfort

Wear earrings for a realistic period. Put on the ring and move your hand. Lay the pendant against clothing. A product that looks premium in a tray can feel wrong when worn.

3. Construction and moving parts

Open and close the clasp. Test jump rings, hinges, posts, backs, chain links, and adjustable sections. Look for sharp edges, loose components, weak joints, and parts that rub against the skin.

4. Material and finish

Confirm the base material and the finish in writing. “Gold” is a color direction, not a complete plating specification. If a wear or water-use claim matters, state the intended use and agree on the relevant test or sample review.

5. Stones, pearls, and decorative details

Check stone size, color, setting security, alignment, surface quality, and pair matching. For pearls or beads, confirm the intended variation rather than expecting every natural-looking component to be identical.

6. Branding and packaging

Check logo position, engraving size, card artwork, pouch, box, insert, barcode, and carton marks. Packaging is part of the retail product and should not be left to the last week.

7. The approval record

Keep photographs, measurements, notes, and any agreed tolerances together. Qiuqiu Atelier's FAQ guidance treats the approved sample as the reference for material, dimensions, weight, plating color, stone setting, logo position, packaging, and inspection criteria.

One sample may not answer every question

If the collection contains different materials, plating colors, sizes, or stone constructions, ask whether one sample is enough to represent the whole order. A gold-tone brass sample does not automatically prove the behavior of a 925 silver version. A small pendant does not automatically prove a large pendant's comfort or strength.

Photograph the sample like a product, not a souvenir

Take front, back, side, close-up, and worn photographs. Include a ruler or a measurement note where scale matters. Photograph a pair together if symmetry matters. Record the finish in the same lighting when possible; a warm room light can make two gold colors look closer than they are.

Keep the review practical. Open the clasp several times. Wear the earrings. Turn the ring through normal hand movement. Put the necklace over the clothing your customer is likely to wear. A sample review that only happens on a white tray is incomplete.

Separate approval from wish-list changes

When the sample arrives, divide notes into three groups: must fix before bulk, acceptable variation, and ideas for a future version. This prevents a small adjustment from becoming an endless redesign. If a change affects dimensions, weight, material, finish, packaging, or cost, record the change and ask for a revised confirmation.

What to write in the approval message

Be specific:

Approved for bulk production: pendant diameter 18 mm, chain length 45 cm plus extension, gold-tone finish matching the approved sample, logo centered on the back, black pouch with the attached artwork. Please flag any change before production.

The exact fields will differ by project, but the principle stays the same: approve the product you can inspect, not the product you assume.
